How should certificate pages be submitted? How should I name the file?

Combine all certificate documents in one PDF file for submission. This will save both county and CDSS staff time during the upload and download process. Use the following naming convention.: CERT_MMYYYY_ALL
When you scan these documents to create your PDF version, please do not use a high resolution for the scan as the resulting document size may be too large for submission.

What happens if I realize there was an error on a claim file prior to the 20th due date?
|

You may make changes to your claim file and reupload as many times as you need before the 20th due date. Each time you upload a file with the same name, including the file extension, and select the same claiming period, the system will issue a warning that you are about to overwrite the previous file. Both instances of the upload will occur, but the data in the latest file will overwrite the data in the original file.

What happens if I realize there was an error on a claim file after the due date?

The State will retrieve uploaded claim files on the day after the due date. If you must submit late or resubmit after the due date, notify the claims unit by sending an email to assistance.claims@dss.ca.gov. You will be instructed on what to do next.

What do you mean by ‘including the file extension’?

When checking for a unique file name, CECRIS checks both sides of the dot. If you have a word document and an PDF with the same file name, they will be recognized as unique because of the .doc and .pdf at the end of the file name.

I used the overwrite function but still see the file twice on the Uploaded File/Document list. Why? Will the State get both versions?

The system has overwritten the initial file. You will continue to see the file listed twice on the Uploaded File/Document list. When you open the files, each will display the newest uploaded data. The State will only get one version, the last file uploaded.

What time is the claim due?

The CA800 claim files are due by the end of the day, 11:59 PM, on the due date.

In months where the 20th is on a weekend or holiday, claims are due the next business day after the 20th.

What do I do if the State identifies a workbook requiring edits?

If, during review of submitted claims the State needs you to make an edit to a workbook, you will make the changes and resubmit the revised claim via the CECRIS portal, as you did with the original claim. Please notify your State claim contact that you have resubmitted the workbook.

Can I delete a file from the Upload File/Document List?

No. Once you upload a file, you cannot delete it. You can overwrite it with the ‘overwrite function’ described above, but you cannot delete it.

How will I know that my claim has been received by the State? Will I still get an email confirmation?

After you upload a claim file, you will receive a successful upload message on the screen and see your file on the Uploaded File/Document list. This confirms your claim file is submitted to the State. No other notification will be sent.

If I select "Other Supporting Documentation" as the file type but the name of the file is CERT_012019_ARC, will the system stop my upload?

No. The system does not compare the file name to the selections you choose from the drop-down options. Please review your selections to ensure they are correct before completing the upload.

Will the State see who uploaded the file and what time the file was uploaded?

No. When the State downloads the CA800 Claim files, they will retrieve them by claiming period as selected by the county user at time of upload. They will download only the files that were uploaded for that claiming period and no other information.

Can my co-worker overwrite a file I uploaded?

Yes. The Overwrite function is looking at the file name and claiming periods selected from the drop-down options. It is not looking at the document type or user.
